Who we are
lemontank ltd (“we”, “us”, “our”) is a UK-based consultancy agency that helps brands reach young audiences. We are the Data Controller for the personal information we collect.
The type of personal information we collect
We collect different types of information depending on how you interact with us:
Website visitors: technical data (IP address, browser type) and usage data via Google Analytics.
Applicants (recruitment / schemes / events): identity (name), contact info (email, phone), location and application content (including a biography and portfolio links) via Google Forms.
Freelancers, research participants and employees: identity, contact details and financial/bank details for payments. We may also collect some special category data (such as ethnicity or age) and demographic information to ensure our panel remains representative of the audiences we study.
Clients and prospects: identity and contact info for business communication and our Mailchimp newsletter.
How we use your personal information
Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:
(a) Your consent. You are able to remove your consent at any time. You can do this by contacting us by email using the button on this page.
(b) Performance of a contract, if you are working for us or we are working for you in any capacity.
(f) We have a legitimate interest, for the purposes of carrying out our business.
When we collect “special category data” (like ethnicity, race or health information) or age-related data from our employees or freelance contractors:
Purpose: we use this to ensure lemontank provides diverse and representative insights to our clients.
Legal basis: We process this based on your explicit consent at the point of collection or for substantial public interest (specifically, monitoring equality of opportunity or treatment) under the UK Data Protection Act 2018.
Protection: Where possible, we anonymise this data for statistical reporting so individuals cannot be identified.
How we store your personal information
Your information is securely stored in password-protected digital documents and systems. We do not sell your data. We may use your contact details internally in the course of our work, which may include sharing them with a small number of freelance contractors, but we will not share them with any other businesses or third parties without your consent.
We only share it with trusted service providers to run our business:
• Google Workspace: for internal storage, email and application management.
• Mailchimp: for managing our newsletter and client updates.
• FreeAgent / Wise / Mettle / Cushon: for processing payments to our team and freelancers.
• Google Analytics: to understand how people use our website.
Some of our providers (like Google and Mailchimp) are based in the US. We ensure they have the correct standard contractual clauses or equivalent safeguards in place to protect your data to UK standards.
How long we keep your personal information
We don’t keep data longer than we need it.
Applicants (recruitment / schemes / events): if you aren't successful, we keep your application data for up to 2 years. This allows us to consider you for future projects that match your profile and helps us maintain a record of previous applications to ensure a fair and consistent recruitment process.
Clients and prospects: until you contact us to ask us to remove your data.
Freelancers, research participants and employees: for the duration of your work with us, plus 6 years following the end of the tax year of your last payment (to satisfy UK HMRC requirements).

Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
